An estimate for a typical month is enough.

Where do most new enquiries arrive?

Count the first useful human reply during working hours. Exclude automatic receipts.

Start timing once you have the information needed to quote.

CRM means customer relationship management. Count a shared spreadsheet if that is what you use.

How do you remember the next step on an enquiry? Consider the customer’s contact preferences.

How The Score Works

Version 1.0 · 16 October 2026. Five questions make up the 100-point score. The other answers add context without changing the points. We chose the weights for this checklist; they have not been tested against business results.

  • Average response delay: 25 points. Within an hour = 25; Later the same working day = 18; The next working day = 8; Later than the next working day = 0; Not measured = 0.
  • Quote turnaround: 20 points. The same working day = 20; The next working day = 14; Two or more working days = 6; Quotes are not part of our sales process = 20; Not measured = 0.
  • Existing CRM or enquiry record: 15 points. One up-to-date shared CRM or record = 15; A shared spreadsheet, updated sometimes = 10; Separate inboxes, notes or memory = 0; Not sure = 0.
  • Follow-up process: 25 points. Documented next steps, reminders and stop rules = 25; Reminders, but no consistent routine = 15; We follow up when we remember = 5; No follow-up routine = 0; Not sure = 0.
  • Lead ownership: 15 points. Every enquiry has a named owner and backup = 15; The team shares responsibility informally = 7; Ownership is often unclear = 0; Not sure = 0.

The lowest share of points comes first. Ties follow question order: response, quotes, records, follow-up, ownership. A full score on a question gives you a maintenance check. If you do not use quotes, you receive all quote points. Use the result to review your own process rather than compare businesses.

Score bands: 0–39, start a routine; 40–74, make it repeatable; 75–99, check the handoffs; 100, keep the routine working. “Not measured” and “not sure” receive zero points. Check these steps before deciding what to automate.
